This page explains what personal information ScienceMadeSimpler collects, why we collect it, how long we keep it, and the rights you have over it. We have tried to write it in plain English rather than legal language.

01Who we are

ScienceMadeSimpler is an online science tutoring service operating in the United Kingdom, run by Hussein Yasin and Sami Ali as sole traders.

For the purposes of UK data protection law we are the data controllers for the information described on this page. That means we decide what personal data is collected and what happens to it.

02What we collect

We only collect what you choose to give us when you book a free trial lesson through our booking page, or when you email us. When you book, that is:

• Your name and email address
• The date and time you choose for the lesson, and your time zone
• Anything you tell us in the booking form — for example the subject, the level, and what your child is finding difficult
• A phone number, only if you choose to add one

If you email us instead, we hold whatever you put in that email.

We do not take payment through this website, and we do not ask for any special category data such as health or ethnicity. Please do not include information of that kind when you book.

03Why we use it, and our lawful basis

We do not use your details for marketing to anyone who has not asked to hear from us, and we do not sell or rent your data to anybody, ever.

04Students under 18

Most of our students are school age. Bookings are intended to be made by a parent or guardian, and we ask you to book in the parent or guardian's name and tell us the student's first name and level.

If you are under 18 and want to book yourself, please ask a parent or guardian to do it with you, so they know we hold your name and can exercise your rights on your behalf.

We only hold a student's name and the subject and level they are studying. If a parent or guardian asks us to delete a student's information, we will do so promptly.

05Who else sees your information

We keep the number of third parties to an absolute minimum. Your booking passes through:

• Cal.com — the booking service that runs our calendar, takes your booking and sends the confirmation. Cal.com is based in the United States, so your booking details are transferred outside the UK. Transfers are covered by the safeguards in their data processing terms. You can read their privacy policy at cal.com/privacy.
• Microsoft (Outlook) — our email provider, which stores your booking confirmation and any emails you send us.
• Google Fonts — the website loads the Lato typeface from Google's servers, which means your browser makes a request to Google and your IP address is visible to them as part of that. No cookie is set and we receive nothing from it.
• Video calls — lessons run over a video link, which is created by Cal.com when you book. The joining link is sent to the email address you give.
• Your tutor — the tutor teaching the lesson sees the student's first name, the subject and level, and anything you told us when booking, so they can prepare. Our tutors are Sami Ali, Hussein Yasin and Anab Yasin. They do not see anything they do not need.

We may also disclose information if we are legally required to, or where there is a genuine safeguarding concern about a child's welfare.

06How long we keep it

• Bookings and emails that do not lead to lessons — deleted within 12 months.
• Students we teach — kept while we are teaching them, and for 12 months afterwards in case you come back to us.
• Records needed for tax — basic records of payments are kept for 6 years, as HMRC requires.

You can ask us to delete your information sooner than this at any time, and we will unless we are legally required to keep it.

Under UK data protection law you have the right to:

• Be told what we hold about you and get a copy of it
• Have it corrected if it is wrong or incomplete
• Have it deleted — often called the right to be forgotten
• Restrict or object to how we use it
• Ask us to stop using your details at any time, which will not affect anything done beforehand
• Ask for your data in a portable format you can take elsewhere

09Keeping it safe

Bookings and emails are sent over an encrypted connection and stored in a password-protected email account. They are seen by the two of us who run ScienceMadeSimpler, and by the tutor teaching your lesson. Nobody else has access, and we keep it to the minimum number of people needed to reply to you and teach your child.

10Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the UK's data protection regulator:

11Changes to this policy

If we change how we handle personal data we will update this page and change the date at the top. If the change is significant and affects people we already teach, we will email them about it.
